Caisely ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our legal case management platform and related services (collectively, the "Service").
By accessing or using our Service, you agree to the collection and use of information in accordance with this policy. If you do not agree with any part of this policy, please do not use our Service.
2. Information We Collect
2.1 Account Information
When you create an account, we collect:
- Name (first and last)
- Email address
- Date of birth
- Authentication credentials (managed through secure third-party providers)
2.2 Case and Legal Information
When using our case management features, we may collect and process:
- Incident details (date, time, location, description)
- Party information (names, roles, contact details)
- Case documentation and files
- Legal intake form responses
- Document signing records

- Email correspondence sent through our platform
- SMS messages and delivery status

3.1 Aggregated and De-identified Data
We may create anonymized, de-identified, or aggregated data from information we collect ("Aggregated Data"). Aggregated Data does not personally identify you and is not considered personal information under applicable law. We may use Aggregated Data for any lawful purpose, including research, analytics, improving our Service, developing new features, and creating industry benchmarks and insights.
3.2 AI and Machine Learning
Our Service uses artificial intelligence and machine learning technologies to provide features such as document analysis, automated insights, and workflow optimization. We use your content to develop and improve these AI features — including prompt development and tuning, and building evaluation datasets we use to measure and improve output accuracy. Access is limited to personnel who need it for those purposes, under the same confidentiality obligations that apply to the rest of your content.
We do not permit third-party model providers to train their foundation models on your content. Content sent to AI providers to generate output for you is processed under enterprise terms that prohibit such training. We do not publish your content, sell it, or disclose it to other customers.
You may opt out of having your content used to develop or improve AI features by contacting us at contact@caisely.com. Opting out does not limit your access to any feature. See Section 5.1.1 of our Terms of Service.
AI-generated output is probabilistic and may be inaccurate or incomplete. It requires review by a qualified person before it is relied upon. See Section 8A of our Terms of Service.
4. Information Sharing and Disclosure
We may share your information in the following circumstances:
4.1 Service Providers
We engage trusted third-party companies to perform services on our behalf, including:
- Cloud storage and hosting providers
- Document signing services
- Email and SMS delivery services
- Authentication providers
- AI and machine learning services for document processing
- Analytics providers
4.2 Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
4.3 Legal Requirements

4.5 Organization Members
Within your organization, information may be visible to authorized team members based on their roles and permissions.
4.6 Mobile Information and Text Messaging (SMS)
We do not share, sell, rent, or otherwise provide your mobile phone number or text messaging consent to third parties or affiliates for their own marketing or promotional purposes. No mobile information collected for text messaging is shared with third parties or affiliates for marketing. We share your mobile number only with the messaging service providers (such as our SMS carrier) that we use solely to deliver the messages you have consented to receive, and those providers are contractually prohibited from using it for any other purpose. Text messaging originator opt-in data and consent are never shared with any third parties or affiliates for marketing purposes.
5. Text Messaging (SMS) Consent and Program Details
When you provide your mobile phone number and check the SMS consent box on an intake form or otherwise opt in, you agree to receive text messages from the participating law firm (and from us on the firm's behalf) at the number provided. These are transactional and informational messages related to your inquiry — including appointment reminders, case updates, and responses to your questions. Providing consent is not a condition of any purchase or service.
- Message frequency varies based on your interactions and case activity.
- Message and data rates may apply, depending on your mobile carrier and plan.
- You can opt out at any time by replying STOP to any message. Reply HELP for help.
- You may withdraw consent at any time; doing so will not affect the legal services you receive.
Carriers are not liable for delayed or undelivered messages. For the full terms governing text messaging, see Section 8B of our Terms of Service.
6. Data Security
We implement appropriate technical and organizational measures to protect your personal information. Our security measures include:
- Encryption of data in transit (TLS 1.2+) and at rest (AES-256)
- Secure authentication mechanisms including multi-factor authentication
- Regular security assessments, penetration testing, and vulnerability scanning
- Role-based access controls and principle of least privilege
- Comprehensive audit logging and monitoring

We cannot guarantee absolute security but are committed to promptly addressing any security incidents in accordance with applicable laws and our incident response procedures.

For organization accounts, you may request an export of your data during your subscription and for thirty (30) days after termination or cancellation, after which we may permanently delete it. Deletion is permanent and irreversible. We retain billing and transaction records for as long as required for tax, accounting, audit, and legal compliance purposes. Depending on your location, you may have the right to:

- Opt out of having your content used to develop or improve AI features (Section 3.2)
